We’re Answering Your Kareo Medical Billing Software Questions: Using Kareo on a Mac, and More!

July 26th, 2011 by Joann Doan

We're answering your Kareo medical billing software questions on Facebook...and on our blog!We love the great questions we get on our Facebook page. Here are some of the latest, which we thought may be useful for others. If you haven’t already, be sure to “Like” us on Facebook so you can see this great information, and to be entered into our monthly “Like Kareo, Win a Kindle” contest!

Question: Can Kareo be downloaded on Mac laptop? If so, please tell me how…Thanks!

Kareo response: Kareo is a native Windows-based application that you download and install to your computer that lets you access your online patient and medical billing information from your home or office using any computer with an Internet connection. All of your information is stored on the Kareo servers, but you need the Kareo application to access it.

You have several options for running Windows applications on a Mac, as outlined in the Frequently Asked Questions section of the Apple website:
http://www.apple.com/why-mac/faq/

Of the three options available to you, we would recommend the following two options since they allow you to run Windows applications, like Kareo, side-by-side with your normal Mac applications.

Parallels Desktop for Mac – You can purchase this program at the Apple store or online.
http://www.parallels.com/products/desktop/premium?ClickID=bkyqqf6zqgqvyzqlksnvszegsdvsqdkzmvqq

VM Ware Fusion – I don’t believe this program is available from the Apple store, but it is also another good option.
https://www.vmware.com/products/fusion/

Question: I have been receiving a lot of email alerts about needing to test for 5010 readiness. When can Kareo users expect to be able to begin testing?

Kareo response: Kareo is currently working with our clearinghouse partners to fully implement the 5010 standard and completely expect to be compliant by the January 1, 2012 deadline. In addition, both clearinghouses offer a 4010-to-5010 translate tool which we can use if needed. We expect to fully review the ICD-10 requirements and develop a solution for it, beginning in early 2012.

Question: REPORTS – What are the best reports to run to make sure claims are being managed correctly?

Kareo response: You should be reviewing your clearinghouse reports daily to be able to quickly find, fix, and rebill any rejections. Also reviewing the A/R aging reports by payer & patient will help you stay on top of claims pending payment from the payers.

Have a question about Kareo? Feel free to write it in the comments below, post it on our Facebook page, or email Support@Kareo.com.

Medical Billing Software FAQ – How to Reverse a Payment in Your Kareo Software

July 25th, 2011 by Mel Aclaro

If you tuned in to a post I shared last week, then you may have seen the first topic in a new Kareo Support series we’re adding to the blog.  Last week I showed you how to find the three new training sections on the Kareo website.

This week, I wanted to bring along one of our Customer Support Rock Stars, Rebecca Usherwood, to help me show you how to solve one of the frequently asked questions we receive about reversing payments.

How to Reverse a Payment in Kareo

Check out the video above.  In just a few short minutes, Rebecca shows you how to use your Kareo software to reverse a payment.  You’ll encounter this situation in scenarios where, say, a patient self-pays and then discovers later that her insurance actually covers the procedure.

If you had already posted the earlier patient payment, then you’ll now want to reverse that payment.  You can then either refund the amount to the patient or, as you’ll see in the video scenario, you might instead choose to apply the payment to a later date of service.

Related Training Modules

Rebecca does a great job showing you the quick-hit steps for reversing a payment.  After watching the video above, you may want to explore Posting Payments in Kareo a little more.  (Or, even if you’re not currently a Kareo customer, it may help you to see Kareo in action before you take us for a test drive.)  In which case, you may also find this module about Posting Payments helpful.  It includes the following topics:

  • Accessing the Find Payment Window
  • Posting Payments Via EOBs
  • Posting Patient Payments
  • Posting Refunds
  • Posting ERAs

You’ll find the module above listd in the Popular Videos page of Kareo’s free online training library.

What other frequent scenarios do you encounter that you think will be worth sharing with our readers?  Post your ideas in the comments section below.  I’ll send you one of our cool Kareo (de)stress balls if we feature your post in a future article.

Insurance Company Underpayment: A Medical Billing Software Fantasy Revealed

July 22nd, 2011 by Joann Doan

Insurance companies are underpaying your practice, but medical billing software can helpSince it’s Friday and a good time to have a little fun (and in my opinion, it’s always a good time to have fun at the expense of insurance companies), I wanted to share with you my dream of a conversation at an unnamed insurance company. It would go like this:

Insurance Company CFO: “Sir, I’m sorry to report that our profit margin is down.”

Insurance Company CEO: “And why is that?”

CFO: “Well, sir, normally we receive a nice float from monies due to providers that we haven’t paid.”

CEO, gloating: “Yes, I love that. It’s a beautiful part of this business.”

(Both smile.)

CEO: “Why has that changed?”

CFO: “Well, sir, normally payments are off our contracted amounts by as much as 62% while claims are denied and underpaid. Most physician practices either don’t figure it out or don’t follow up, and we get to keep that 38% that they are owed.”

CEO: “Can you imagine those people leaving that much on the table? That’s amazing…but good for us.”

CFO: “Yes, sir, it traditionally has been, and especially last year when our payment accuracy rates actually dropped, as the AMA pointed out so annoyingly in their 2011 National Health Insurer Report Card.”

CEO: “Yes, I hate that thing. But you said our profits are down, so why is that?”

CFO: “Well, sir, unfortunately people have noticed that they’re being underpaid, and they’ve started to do something about it.”

CEO: “Very unfortunate. But we’ve been doing this for a while…how can they do anything about it?”

CFO, cringing: “There’s a medical billing software solution called Kareo that allows them to see in a single report what we’re paying them, what they’re contractually owed, and the difference.”

CEO, twirling large black mustache: “Curses! Foiled again!”

OK, so the conversation is a fantasy. But as I mentioned on Monday, the underpayment actually is occurring, and  you can—and should—do something about it. Here’s what you can do:

1. Check out Kareo’s Contract Management Summary report (in the “Reports” drop-down) if you are currently a Kareo customer. At a glance, this shows you by procedure:

  • Expected Allowed
  • Average Allowed
  • Expected Payment
  • Average Payment

You can also load in the contractual response time required for claims, which means you will receive automatic alerts when you have not received a response from an insurance company on a claim within the contractually required response time.

2. If you are not a Kareo customer and would like to learn more about this useful report, join us for a demo webinar on Thursday, July 28, when you’ll hear about that feature and others including:

  • Instant eligibility verification to reduce denials and save you $2.95 per patient–thousands per year
  • Easy, “at-a-glance” management of your claims, denials and appeals to insure nothing falls through the cracks
  • Complete reporting that gives you a full view of what’s happening with your practice, plus “click-through” ability to quickly look at any supporting data
  • And much more

But whether you join us or not, I hope you will take a good look at what you’re being paid. The fantasy above is a nightmare for your practice profitability, and not one we want you to experience whether you’re a Kareo customer or not.

Do you have an underpayment story you’d like to share? Please tell us in the Comments section.
