Kareo EHR Adds Expanded Notes and Billing Features

On Wednesday, May 21, Kareo EHR was upgraded. The new features provide you with expanded Notes capability and allow you to add billing comments to your Superbills along with other features designed to help you get more from your integrated Kareo EHR and Kareo Practice Management systems.

Use Enhanced Notes
Notes that are created by clinical staff, who have permission to do so, can now be assigned to a provider. This gives your practice the flexibility to have the Note started in advance for the provider, and then assign it to that provider to complete. Once the Note has been assigned, it will show up in the provider’s Tasks List. Learn more in the full release notes.

Make Comments in the Superbill
You now have the ability to make special notes or comments on the Superbill. It is a convenient way to communicate important messages internally to support effective billing for your practice. Learn more in the full release notes.

2 Important Ways Kareo PM Can Help Improve Coding Accuracy

Kareo has some nice tools to make coding easier and more accurate for the biller or coder and the healthcare provider. Here are two that I use regularly.

  1. Under settings>codes>find procedures, there are three features that can help improve your coding accuracy before you ever code an encounter.
    • When you set up the codes for your practice you can create a local name for each code. This is very useful if the provider would be more comfortable seeing his or her own wording for that procedure. An example is 20610, which is arthrocentesis, aspiration &/or injections; major joint/bursa. The doctor may just want it called “trigger points”. Customizing the name of common codes can help the provider code the superbill more quickly and accurately, saving time for both the doctor and the coder or biller.
    • Establishing type of service (TOS) in the setup  is another nice feature. This is especially useful for a practice where surgeries are performed, and it can be a way of reporting to assist the manager in understanding revenue opportunities. You can also place units into the code. So, if you always code a procedure with four units, then it could be hard coded into Kareo, removing the possibility for error.
    • During setup there is also a spot for the NDC number, which can help the practice get paid for drugs by payers.

  2. On the backend there is another tool that I find helpful. After you put in an encounter, you can ‘check codes’ and instantly see if there is an error. If you are coding multiple line items, Kareo will let you know if a line item may need a modifier. This is a welcome warning that alerts the biller to review her modifiers to make certain she sends out a clean claim the first time.There is a nice article written in Kareo help screen called Which CCI Edits Does Kareo Code Scrubbing Include? It states that NCD/LCD edits are used along with NCCI edits, HCPC edits, and ICD9 edits.  These are awesome tools to help the busy coder or biller to be more accurate in their work and avoid the unclean claim.

Ultimately, proper setup of codes and code scrubbing before submission are two important tools that can help you get paid faster and more accurately.

3 Big Trends Impacting Small Medical Practices

Yesterday, a group of over 20 healthcare industry experts and providers got together at the #kareochat to talk about three big trends that are impacting small practices.

The trends were identified in the 2014 Black Book Survey, which was released the same day. There were some great statistics and commentary that came out of the conversation.

Here are a few highlights on coming trends:

  • Software Upgrades (40% looking to switch EHRs)
  • Integration-90% managers see seamless EHR/PM/RCM as way to stay independent 
  • Outsourcing -42% small practices hope to outsource billing in next 12 months 


  • Bigger patient pool due to ACA
  • Shift to value based pay models from fee for service
  • The rise of consumerism in healthcare
